The Role
We’re seeking a highly organised and proactive Executive Assistant to provide exceptional support to our senior leadership team - including the Chief Operating Officer (COO), Executive Director for Upstream, and Chief Financial Officer (CFO).
This is a fast-paced, dynamic role at the heart of our business, where you’ll play a key part in ensuring our executives’ time and priorities are managed effectively, day-to-day operations run smoothly, and key initiatives are supported.
Based at our Head Office in Shirley, this role offers the opportunity to work closely with senior leaders across the business and help shape the rhythm of Norton’s executive operations.
Key Responsibilities
- Provide comprehensive diary and inbox management for the COO, Executive Director for Upstream, and CFO - balancing priorities and ensuring seamless scheduling across time zones
- Coordinate and book international and domestic travel, including flights, accommodation, itineraries, and visa arrangements
- Support personal and professional matters related to executive relocation - including bills, furniture, and ad-hoc mini projects
- Manage and liaise with multiple stakeholders internally and externally, ensuring smooth communication and follow-up on key actions
- Anticipate needs, identify issues before they arise, and take a proactive approach to problem-solving
- Handle confidential and sensitive information with discretion and professionalism
- Partner closely with other EAs and the wider business support function to ensure consistency, coverage, and operational excellence across leadership offices
Experience and Core Competencies
Executive Support Mastery
- Proven experience as an Executive Assistant, Personal Assistant, or Senior Administrator supporting C-suite or executive-level leaders
- Skilled in managing complex diaries, logistics, and competing demands with minimal oversight
- Demonstrated ability to prioritise strategically and make judgement calls on behalf of executives
Operational Excellence
- Strong organisational and time management skills, with the ability to balance multiple high-stakes priorities
- Comfortable building and refining systems that enhance efficiency (templates, processes, or scheduling routines)
- Detail-oriented with the discipline to follow through and close loops
Communication and Relationship Management
- Exceptional written and verbal communication skills; clear, concise, and professional in tone
- Confident engaging with stakeholders across all levels, from board members to external partners
- Trusted to represent executives with maturity, diplomacy, and credibility
Proactive Problem Solving
- A solutions-focused mindset - anticipates needs, mitigates risks, and adapts plans quickly when priorities shift
- Calm and composed under pressure, able to make sound decisions with limited information
- Resourceful, independent, and persistent in removing roadblocks.

- Operates with discretion and sound judgment at all times, managing sensitive and confidential matters appropriately

Digital and Technical Competence
- Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) and adaptable to new technologies and tools (e.g., collaboration platforms, project trackers, CRM systems)
- Able to leverage digital tools to simplify complex workflows and maintain visibility across multiple priorities
