The Role
We are looking for a highly organised and proactive Office Manager/Team Assistant to play a key role in supporting our team’s day-to-day operations.
Reporting to the Executive Assistant (Downstream), this person will ensure smooth office management, coordinate team travel and accommodation, and assist with expense tracking and reporting. The ideal candidate thrives in a dynamic environment, anticipates needs, and enjoys helping the team stay focused and productive.
Duties/Responsibilities
- Office & Team Support - Manage office operations, supplies, and vendor relationships.
- Coordinate meetings, events, and team activities.
- Serve as the go-to person for daily team support needs
- Arrange domestic and international travel, including flights, hotels, and ground transportation for the commercial team.
- Anticipate preferences and ensure smooth travel logistics.
- Maintain accurate travel itineraries and provide timely updates to the team.
- Coordinate logistics of catering and venue bookings to coincide with the commercial department.
- Ensure office equipment and stationery are maintained and functioning properly
- Support virtual meeting setup and troubleshooting.
- Support onboarding of new employees (workspace setup, access, supplies).
- Act as a point of contact for internal staff queries related to office logistics.
- Provide occasional Executive Assistant cover.
- Communication & Coordination - Act as the first point of contact for internal and external queries.
- Liaise with other departments and external stakeholders. - Maintain effective communication within the team and across the organisation.
- Expenses & Administration - Process and track expense reports and reimbursements.
- Liaise with finance/HR on administrative processes as needed.
Personal Specification
- At least 4 + Years of Experience within office management or administration
- Able to work within a fast-paced environment and think quickly of tasks in hand
- Proven experience as an office manager, executive assistant, or team coordinator.
- Strong organisational and multitasking skills with high attention to detail.
- Excellent communication skills, professional, clear, and approachable.
- Proficiency with tools such as Microsoft, Travel portals and expense systems (e.g., Sage HR, Concur, Expensify).
- Ability to handle confidential information with discretion. - Flexible, proactive, and calm under pressure.
